Using grok bot for accounting means giving one Bot the admin side of the books: collecting invoices and order confirmations from email, building spreadsheets and reports from your files, auditing subscriptions and running a month-end checklist, while your accountant or bookkeeper reviews the numbers and a person approves anything that pays or cancels. xAI's docs list "Expense manager" as a starter role, and its sample prompt ends with "do not send messages or change reimbursements." That is the pattern: the Bot gathers and reconciles, people check and decide.

What Grok Bot for accounting can actually do
All of your Bots share one persistent cloud computer, and each Bot gets its own screen on it. A finance Bot can work through invoices while another Bot does something else, and routines run with your laptop closed. Because the computer, files and sign-ins are shared by every Bot on your account, keep finance files in one clear folder and only sign in to what this work needs.
The pieces xAI's docs confirm:
- Gmail to search and read mail, draft replies and apply labels.
- The Bot's own email address at mail.grokbot.com, with plus aliases and routines that run when mail arrives from chosen senders.
- Files: PDFs, CSV files and spreadsheets in, and spreadsheets with defined columns and formulas out.
- Google Sheets and Drive to read, edit and save files.
- Templates: the v0.78.1 changelog (27 Oct 2026) says the Find unused subscriptions template "cancels plans you pick from the ones you still pay for, and Watch subscription prices checks renewal prices."
- Connectors offered on sign-in: the changelog says the Bot offers a connector when you hand it the computer to sign in to sites such as QuickBooks, and offers one on Gusto sign-in pages.

Grok Bot for accounting workflows you can copy
1. Invoice and order-confirmation collection from email
Example: a three-person landscaping business could give suppliers an alias such as yourname+invoices@mail.grokbot.com, or keep using its own Gmail.
Prompt: "Every Monday at 8:00 AM, search my Gmail for invoices and order confirmations from last week. Save each attachment to the 'Invoices 2026' Drive folder, renamed as supplier, date and invoice number. Add a row per document to the 'Bills' sheet with supplier, date, invoice number, total and due date. Mark any field you can't read as 'check'. Do not pay or reply to anything."
What you get: a filed folder and a sheet your bookkeeper can check. xAI's docs say the Bot's own inbox takes up to 10 attachments per message. See Grok Bot email and Grok Bot Gmail.
2. Expense reconciliation from your files
xAI's file docs give this exact kind of task as an example: a signed policy PDF plus a spreadsheet of the month's transactions.
Prompt: "The PDF is our expense policy. The spreadsheet is this month's card transactions. Reconcile the spreadsheet against the policy and the invoices in the 'Invoices 2026' folder. Flag missing documents, missing categories and policy exceptions, cite the policy section for each exception, and make sure totals reconcile back to the source. Return a new spreadsheet and one draft follow-up per person. Do not send anything."
The Expense manager role in the docs asks for exactly that: a policy citation on every exception and totals that tie back to the source.
3. Reports from spreadsheets
Prompt: "Using the 'Bills' sheet and the bank export CSV I attached, build a spreadsheet with a tab per supplier, a summary tab with formulas, and a list of bills due in the next 14 days. Save it to Drive and post the link here."
If Pages has reached your account, a Bot can build a report page with tables and filters and update it from a routine. xAI notes Pages is rolling out and isn't on Enterprise yet.
4. Subscription audit with templates
Start from the Find unused subscriptions template, then add Watch subscription prices. Ask the Bot to list subscriptions first and stop:
Prompt: "List every subscription you can find in my Gmail with the service, renewal date and who uses it. Mark the ones with no emails other than billing in the last 90 days. Do not cancel anything. I'll pick which ones go."
The changelog says the template cancels the plans you pick, so the pick stays with you. Browse templates in Grok Bot templates.
5. A month-end checklist routine
Prompt: "On the first weekday of each month at 9:00 AM, run the Month-end skill: check every bill in the 'Bills' sheet has a matching document, list unpaid bills past due, list subscriptions that renewed, flag transactions with no category, and draft one email to our bookkeeper with the checklist and links. Leave the email as a draft. If any sheet is missing or out of date, say so instead of using old data."
Email from a routine waits as a draft until you press Send. More in Grok Bot routines.

Guardrails for Grok Bot for accounting
- Not tax or financial advice. The Bot organizes documents and numbers. Tax treatment, filings and financial decisions stay with your accountant.
- An accountant or bookkeeper reviews. Treat every spreadsheet the Bot makes as a draft until a person checks it against the source.
- Approvals for anything that pays or cancels. Add Ask first rules: "Ask first before any payment or purchase" and "Ask first before cancelling any subscription." Ask first wins over Allow rules.
- Know how Vault cards behave. xAI's docs say a card saved in Vault "fills in at checkout without asking you each time, and no setting requires your approval for each use." To approve every payment yourself, don't save the card: leave "Securely save to Bot's vault" unchecked, or remove the card in Settings, Vault.
Two more points from the docs. The Bot never sees a saved card number or security code. And since v0.70.2 (11 Oct 2026), after a bank or brokerage connector returns data, the Bot asks before sharing it anywhere else. xAI's docs also list purchases and financial transfers as actions that need explicit boundaries.
Build a Grok Bot for accounting setup step by step
- Give the Bot its job. "You own finance admin for our business: collecting invoices and order confirmations, reconciling, reports and the month-end checklist. You never pay, cancel or file anything. From now on, never send external messages without approval."
- Run one real month of invoices and correct the sheet until your bookkeeper is happy with the format.
- Save it as a skill: "Save this as a skill called 'Month-end'. Include the sheet columns, the naming rule for files and the rule that payments and cancellations need approval." See Grok Bot skills.
- Add the routine and press Test with a safe input.

Who Grok Bot for accounting fits, and who it doesn't
It fits:
- Owners who chase invoices across Gmail and hand a folder to a bookkeeper each month.
- Small teams with a written expense policy they want checked the same way every time.
- Anyone who suspects they pay for subscriptions nobody uses.
It doesn't fit:
- Anyone looking for tax advice or a replacement for an accountant.
- Businesses that want bills paid automatically with no human check.
- Teams that need finance data walled off from other Bots on the same account. All your Bots share one computer, and Vault items are available to every Bot on your account.

Grok Bot for accounting FAQ
Can Grok Bot do my bookkeeping?
It can collect documents, fill a sheet and reconcile against your policy. A bookkeeper or accountant should review the result before it goes into your books.
Can Grok Bot cancel subscriptions?
The changelog says the Find unused subscriptions template cancels the plans you pick. Add an Ask first rule so every cancellation still needs your OK.
Will Grok Bot pay bills with my card?
A card saved in Vault fills in at checkout without asking each time, per xAI's docs. If you want to approve every payment, don't save the card in Vault.
Does Grok Bot work with QuickBooks?
The changelog says that when the Bot hands you its computer to sign in to sites like QuickBooks, it offers that service's connector. Otherwise it can work in the website through the browser.
