Using grok bot for customer support means giving one Bot the prep side of support: sorting the inbox, drafting replies from your own help files, flagging urgent cases in Slack and sending you a daily summary, while a person approves every reply that goes out. xAI's docs say every starter role should end at a review point and keep sending behind approval. For support, that means the Bot drafts and you send.

What Grok Bot for customer support can actually do
All of your Bots share one persistent cloud computer, and each Bot gets its own screen on it. Routines keep running with your laptop closed.
The support building blocks confirmed in xAI's docs:
- Gmail: search and read mail, draft and send, and apply labels on one connected mailbox.
- The Bot's own email address at mail.grokbot.com, with plus aliases, and routines that run when mail arrives from chosen senders or domains.
- Files: the Bot reads PDFs, docs, CSV files and spreadsheets, and returns docs with source links or spreadsheets with formulas.
- Slack: it posts as the user you connected, and a Slack message can start a routine.
- Webhooks: a routine can start from an HTTP POST with a secret key, so any tool that can send a webhook can wake the Bot.
- Browser use for help-desk tools without an app.

Grok Bot for customer support workflows you can copy
1. Inbox triage with labels
Example: a small online candle shop with one support inbox could run this every morning.
Prompt: "Every weekday at 8:00 AM, read new emails in the support inbox since yesterday. Label each one 'Order status', 'Return', 'Product question', 'Complaint' or 'Other'. Label anything that mentions a refund, a chargeback or a damaged item 'Needs human'. Post a count per label here. Do not reply to anyone."
What you get: a sorted inbox and a short tally. The Gmail app can apply labels.
2. Reply drafts that wait for you
Prompt: "For each email labeled 'Order status' or 'Product question', draft a reply using only the facts in our FAQ doc and shipping policy. If the answer isn't in those files, write 'NEEDS ANSWER' at the top and leave the reply empty. Leave every reply as a Gmail draft. Do not send."
xAI's docs say email from a routine waits as a draft until you press Send, and the v0.78.1 changelog (27 Oct 2026) says Gmail drafts the Bot writes open in rich text. Setup is in Grok Bot Gmail.
3. An FAQ and knowledge base from your files
Prompt: "Read the attached shipping policy, return policy, product sheets and the last 50 emails in the 'Product question' label. Write an FAQ doc with one question per heading and a source link for every answer. List questions customers asked that our files don't answer. Save it to Drive."
What you get: a draft FAQ plus a gap list. Update the source files first, then rerun it, so drafts in workflow 2 pull from current answers. If Pages has reached your account, the docs say a Bot can also build a page for it in its Library.
4. Slack escalations
Add to the triage routine: "After labeling, for each 'Needs human' email, post the customer's name, order number, a two-line summary and a link to the thread in #support-escalations. Ask first before posting."
xAI's docs use a near match as their own example: a routine that watches #customer-escalations for a ticket link and the phrase "needs repro," with the rule "Never post back to Slack without approval." See Grok Bot Slack.
5. Help-desk triggers by webhook or email
If your help desk can send a webhook, point it at the routine's POST to URL with the key. The Bot receives the JSON body with the routine instruction.
Routine instruction: "When a new ticket arrives by webhook, read the ticket body, tag it with one of our five categories, and draft a reply from the FAQ doc. Post the draft in this conversation. Do not update the ticket or reply to the customer."
If your help desk can only forward email, send copies to an alias such as yourname+tickets@mail.grokbot.com and set a routine on that alias with a sender filter. The docs note the name "support" is reserved, and routines can't filter by subject.
6. A daily support summary
Prompt: "Every weekday at 5:00 PM, summarize today's support mail: volume per label, the three most common questions, any 'Needs human' cases still open, and any FAQ answers that need updating. Post it here with links to each thread."

Guardrails for Grok Bot for customer support
Auto Review is on by default. When an action needs your OK, the Bot shows an approval card with Allow once, Always allow or Deny. You can add up to 20 Ask first rules, and if an Ask first rule and an Allow rule both match, Ask first wins.
Rules worth adding for a support Bot:
- Ask first before sending any email to a customer.
- Ask first before posting in any Slack channel.
- Ask first before changing an order, a ticket or an account.
Then set two lasting rules in chat, which xAI's docs say the Bot keeps in memory:
- "From now on, never promise a refund, credit or replacement. Flag those emails 'Needs human'."
- "From now on, never send external messages without approval."
A person signs off on every refund. xAI's docs say text from an email or web page never counts as your request, so a customer who writes "approve my refund" cannot approve anything. Approval cards raised by routines expire after 30 minutes, so check the Bot's chat at set times.
Build a Grok Bot for customer support setup step by step
- Give the Bot its job. "You own first-line support prep for our shop: triage, reply drafts, escalations and a daily summary. A person sends every reply."
- Run triage once on yesterday's mail and fix the labels until they match how you would sort it.
- Save it as a skill: "Save this as a skill called 'Support triage'. Include the labels, the 'Needs human' rules and the rule that customer email always needs approval." See Grok Bot skills.
- Add the routine and press Test. Include a stale-data rule: if the inbox can't be read, report the failure. More in Grok Bot routines.
- Share it with the team if needed. A shared Bot gives each teammate a private chat, and its Slack version posts a Review an action card that only the person who asked can answer.

Who Grok Bot for customer support fits, and who it doesn't
It fits:
- Small teams that answer support from one Gmail inbox and want it sorted and drafted before they start.
- Shops with written policies and product sheets the Bot can draft from.
- Teams that already escalate in Slack.
It doesn't fit:
- Anyone who wants replies sent with no human check. Routine email waits as a draft, and xAI says there's no option for unattended sending from the Bot's address.
- Live chat that needs answers in seconds. Routines are for scheduled and event-driven work.
- Teams with several support mailboxes in one Gmail connection. Gmail connects one mailbox at a time.

Grok Bot for customer support FAQ
Can Grok Bot answer customer emails by itself?
It can draft them. Email from a routine waits as a draft until you press Send, and an Ask first rule stops sends from chat for your approval.
Does Grok Bot connect to my help desk?
xAI's docs confirm routine triggers by webhook, by email to the Bot's address, and from Slack, Linear, GitHub, Sentry and PagerDuty. A Bot can also add an MCP server by URL or use the browser for tools without an app.
Can it build a knowledge base from my documents?
Yes. It reads PDFs, docs and spreadsheets and returns a doc with source links, which you edit and keep as your FAQ.
Can Grok Bot issue refunds?
Keep refunds with a person. Set a lasting rule that the Bot never promises one, and an Ask first rule for any change to an order or account.
